Community Association Manager (CAM) Duties – Florida Condominium
1. Financial Management
- Prepare annual budgets and financial reports
- Control, disburse, and account for association funds
- Collect assessments (dues), late fees, and other charges
- Track delinquencies and coordinate collections
- Maintain accurate financial records
2. Administrative & Operational Duties
- Maintain official association records and documents
- Handle correspondence (owners, vendors, legal, etc.)
- Process applications (sales, leases, approvals)
- Prepare estoppel certificates and required forms
- Ensure proper recordkeeping and document availability
3. Board Support & Governance
- Assist the board of directors in running the association
- Prepare meeting notices, agendas, and minutes
- Coordinate elections and voting procedures
- Calculate quorum and voting requirements
- Attend board or membership meetings as required
4. Property Maintenance & Operations
- Assist the board of directors in coordinating maintenance and repairs of common areas
- Oversee vendors
- Obtain bids and assist with contract negotiations
- Manage capital improvement projects
- Ensure property is maintained to protect value
5. Vendor & Contract Management
- Solicit and evaluate vendor proposals
- Negotiate contract terms for board approval
- Monitor vendor performance and compliance
- Coordinate service schedules and payments
6. Legal & Regulatory Compliance
- Ensure compliance with Florida Condominium Act (Chapter 718)
- Ensure compliance with CAM laws (Chapter 468)
- Follow governing documents (bylaws, declarations)
- Follow statutory notice and meeting requirements
- Coordinate with attorneys, accountants, and insurance agents
7. Communication & Resident Relations
- Act as liaison between board, unit owners, and vendors
- Respond to owner inquiries and complaints
- Provide required disclosures and updates
- Assist in resolving disputes
8. Enforcement & Compliance
- Monitor compliance with association rules
- Notify owners of violations
- Assist board with enforcement procedures
- Document violations and maintain records
9. Ethical & Fiduciary Duties
- Act loyally, honestly, and in good faith
- Perform duties skillfully and diligently
- Provide full disclosure to the association
- Properly account for all funds
- Avoid and disclose conflicts of interest
10. Licensing Requirements
- Must be licensed by Florida DBPR when applicable
- Complete continuing education requirements
- Follow statutory professional standards
